Archives User Policy
Use of the Reading Room
Seating in the Archives Reading Room is reserved for those using the Archives, Rare Book Collection, or microfilm. Food and drink are not allowed in the Reading Room. Researchers are requested to use pencils while writing notes, or to take notes with a laptop or other personal device.
Accessing our records
Viewing of archival records and rare books is facilitated by Archives staff. While walk-ins are welcome, it is best to make an appointment in advance to ensure that staff are available by email, archives@uwinnipeg.ca, or by phone, 204-786-9162. Both walk-ins and appointments must occur during our opening hours, Monday to Friday 8:30-4:30. All materials must remain in the Reading Room.
Reproducing our records
The Reading Room is equipped with a photocopier and scanner. Please consult with staff prior to making reproductions for directions on their proper use. Users are also welcome to use their own digital cameras to obtain reproductions. Users must also abide by copyright legislation. The University of Winnipeg retains copyright on much of our archival records, and waives copyright in most instances. Where copyright is not held by the University, users are responsible for obtaining copyright permission. We may reject requests for reproductions if it puts the materials at risk (ex. fragile materials).
The Archives can provide high-quality digital reproductions of our records for use in research, presentations, or publications, free of charge on a limited basis. The exact nature of this arrangement is judged on a case-by-case basis and should be negotiated with the University Archivist or the Archives Public Services Coordinator.
United Church Archives
Please note that although we share our space with the United Church Archives, we are unable to provide access to or reference for their records. Please contact them separately by email, ucarchives@uwinnipeg.ca, or by phone, 204-783-0708, for any inquiries.
Citing archival sources
Any material used from the University of Winnipeg Archives should be properly cited. Regardless of the particular style guide, there are a few key pieces of information to include in the citation: the accession number or reference code; the name of the fonds or collection; the series, file, and/or item number; the file/item name; and University of Winnipeg Archives.
